We operate offices in London (United Kingdom), Paris (France) and Berlin (Germany), and provide private jet charter brokerage services to clients worldwide.

 

2. The legal framework that applies to us

As a company registered in Latvia, a member state of the European Union, we process personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (EU GDPR) and the applicable national laws of the Republic of Latvia.

Because we provide services to individuals located in the United Kingdom and collect personal data from UK residents, we also comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 in respect of the personal data of UK data subjects.

Our supervisory authorities are:

3. What personal data we collect and why

We collect and process personal data only for specific, legitimate purposes in connection with the provision of our private aviation brokerage services. The categories of personal data we collect, our lawful basis for processing, and the purpose of processing are set out below.

 

3.1 Charter enquiry and booking data

Data collected: full name, telephone number, email address, departure and arrival locations, travel dates, number of passengers, special requirements (dietary, medical, pet travel).

Lawful basis: performance of a contract (Article 6(1)(b) EU GDPR / UK GDPR) - this data is necessary to prepare a charter quote and, if confirmed, to arrange your flight.

Purpose: to respond to your enquiry, source suitable aircraft, prepare a charter contract and arrange all aspects of your flight.

 

3.2 Passenger manifest data

Data collected: full name, date of birth, passport number, passport expiry date, nationality, and any relevant medical or dietary information provided voluntarily.

Lawful basis: performance of a contract (Article 6(1)(b)) and compliance with legal obligations (Article 6(1)(c)) - passenger manifest data is required by aviation authorities and border agencies at departure and arrival.

Purpose: to fulfil our legal obligations to provide passenger manifests to the aircraft operator, handling agents, and relevant border and customs authorities at departure and arrival airports.

 

3.3 Payment data

Data collected: billing name, billing address, bank account details or card details (processed by our payment providers), transaction references.

Lawful basis: performance of a contract (Article 6(1)(b)).

Purpose: to process payment for charter services and to issue invoices and receipts.

Note: we do not store full card numbers on our systems. Card payments are processed by our regulated payment service providers who maintain their own PCI-DSS compliant security standards.

 

3.4 Website usage data

Data collected: IP address, browser type, pages visited, time spent on pages, referral source, device type. Collected via cookies and similar technologies.

Lawful basis: legitimate interests (Article 6(1)(f)) for analytics purposes; consent for non-essential cookies where required.

Purpose: to understand how our website is used, to improve the user experience and to measure the effectiveness of our content.

 

3.5 Contact and communication data

Data collected: name, email address, telephone number, and the content of any communications you send to us.

Lawful basis: legitimate interests (Article 6(1)(f)) - to respond to your communications and maintain records of client interactions.

Purpose: to respond to enquiries, provide customer service and maintain a record of communications relevant to your account.

 

4. How we use cookies

Our website uses cookies - small text files stored on your device when you visit the site. We use the following types of cookies:

  • Strictly necessary cookies. Essential for the website to function. These cannot be disabled as the site would not work without them. No consent is required for these cookies;
  • Analytics cookies. Help us understand how visitors use our website (pages visited, time on site, traffic sources). We use this information to improve our website. These cookies require your consent;

5. Who we share your data with

We share personal data with third parties only where necessary to provide our services or where required by law. We do not sell personal data to third parties under any circumstances.

  • Aircraft operators. We share passenger manifest data and booking details with the aircraft operator responsible for your flight. This is required to operate the flight legally;
  • Ground handling agents and FBOs. Airport handling agents receive passenger names and flight details in order to prepare the VIP lounge, handle baggage and coordinate ground services;
  • Aviation authorities and border agencies. Passenger manifest data is provided to the relevant civil aviation authorities and border control agencies at departure and arrival airports as required by law;
  • Payment service providers. Payment data is processed by our regulated payment partners. These providers process data only for the purpose of completing your transaction;
  • IT and hosting providers. Our website and data systems are hosted and maintained by service providers who process data on our behalf under appropriate data processing agreements;
  • Professional advisers. Lawyers, accountants and auditors may access personal data where necessary for the provision of professional services, subject to confidentiality obligations.

Where we transfer personal data to countries outside the EU/EEA or UK, we ensure that appropriate safeguards are in place in accordance with EU GDPR Chapter V and UK GDPR requirements.

 

6. How long we keep your data

  • Charter booking and passenger data: retained for 7 years from the date of the flight, in accordance with our contractual and tax record-keeping obligations;
  • Enquiry data (where no booking is made): retained for 12 months from the date of the enquiry, after which it is deleted;
  • Payment records and invoices: retained for 7 years in accordance with accounting and tax legislation;
  • Communication records: retained for 3 years from the date of the last communication, unless a booking was made in which case the 7-year booking retention period applies;
  • Website analytics data: retained for 26 months in aggregated and anonymised form.

After the applicable retention period, personal data is securely deleted or anonymised.

 

7. Your rights

Under EU GDPR and UK GDPR, you have the following rights in relation to your personal data:

  • Right of access. You have the right to request a copy of the personal data we hold about you;
  • Right to rectification. You have the right to request correction of inaccurate or incomplete personal data;
  • Right to erasure. You have the right to request deletion of your personal data in certain circumstances (the "right to be forgotten");
  • Right to restriction of processing. You have the right to request that we restrict processing of your personal data in certain circumstances;
  • Right to data portability. Where processing is based on consent or contract, you have the right to receive your personal data in a structured, machine-readable format;
  • Right to object. You have the right to object to processing based on legitimate interests, including for direct marketing purposes;
  • Rights related to automated decision-making. You have the right not to be subject to decisions based solely on automated processing that significantly affect you. We do not use automated decision-making in our services;
  • Right to withdraw consent. Where processing is based on consent, you may withdraw your consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.

9. Security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, accidental loss, destruction or damage. These measures include:

  • Encryption of data in transit using TLS (HTTPS) across our website and communication systems;
  • Access controls ensuring that personal data is accessible only to staff who require it for their work;
  • Secure transmission of passenger manifest data to operators and authorities through encrypted channels;
  • Regular review of our security practices and procedures.

In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the relevant supervisory authority within 72 hours of becoming aware of the breach, and will notify affected individuals without undue delay where required.

 

10. Intellectual property and website content

All content published on the private-jets.co.uk website - including text, images, graphics, logos, and the structure and layout of the site - is the property of Private Jet UK or its licensors and is protected by copyright law. The applicable copyright law is that of the Republic of Latvia and, where relevant, the laws of the jurisdictions in which the content is accessed.
